Hot Desking

"Hot Desking", or "Hoteling", gives users inside of a domain the capability to utilize a single endpoint. In a shared office or co-working environment, users who login may make this endpoint temporarily theirs as it behaves like their own extension. They may make and receive calls, check voicemail, and use features such as call history and queue statistics follow them.

Initial Configuration

  1. Inside of the domain, you will need to configure a user for each physical user, as well as a user for each physical phone location. The endpoint user should not be a physical user (or person) to effectively employ hotdesking. For instance, if user 201 and user 202 want to share a phone, you will need to create a user and associate that phone device with them (eg, 301).
  2. Once you have configured your domain for hotdesking, please open a support ticket  to designate which users are the physical hotdesking users. Customers are not charged for these system users in a domain where hotdesking is employed.
  3. Next, it is recommended to set up the device with buttons that will be commonly used for all hotdesking users on the endpoint user via SNAPbuilder.

Hot Desking Operation

To utilize hot desking, a physical user needs to log in and logout of the endpoint. Logging in sets up Simultaneous Ring for the physical user including the endpoint user device and assumes ownership, while logging out returns ownership of the device to the endpoint user and removes the Simultaneous Ring rule.

Logging In

From the endpoint device:

  1. Dial *44 from the endpoint
  2. Enter the physical user extension number that wants to log in
  3. Enter the voicemail pin for the user followed by the # (pound) sign
  4. A system-generated message will play announcing the ownership of the endpoint currently, and the user that is about to take ownership of the device. Press 2 to take ownership of the device.

Logging Out
From the endpoint device:

  1. Dial *45 from the endpoint
  2. Enter the voicemail pin for the user followed by the # (pound) sign
  3. Users will also be logged out of a device if:
  • The user logs into another endpoint in the domain
  • A new user logs into the endpoint
  • Hot Desking Answering Rule
  • Hot desking functions by modifying the answering rule for the physical user and changing the endpoint user answering rule. Please make sure that Ring all users phones on the physical users default answering rule stays checked for hot desking to function correctly.
